This public sector organisation works with employers and those running workplace pensions, dedicated to ensuring that all schemes are run properly so that people can save safely for their retirement.

The Challenge

This government agency was reliant on a legacy document management system, Open Text eDocs DM 10. It was looking for a more modern and secure solution to maintain and efficiently manage the vast quantities of personal data while meeting key regulatory requirements.

Our Approach

Qaixen recommended moving and restructuring all existing data onto Microsoft SharePoint, to offer a more stable, secure and modern document management solution.

With multiple terabytes of data to move, this migration project was delivered in two parts:

Phase one involved migrating the vast amounts of existing content into SharePoint with the support of one of our partners, Proventeq, a leader in cloud migration tools and content migration software. We then went onto work with another partner, ShareGate, and their Microsoft 365 management software, to completely restructure the content and optimise the new SharePoint environment to make it easier to find, manage and govern all data. Due to complexities of the project, extensive SQL work was also carried out to allow for a flexible migration and increased audit trail to meet all regulatory requirements.

With this modern SharePoint online environment, users can now easily obtain documents from any device in any location – and access a “single source of the truth”. Combined with the new content structure, searchability has significantly improved and users can rapidly find the relevant information they require, making a big impact on productivity.
